We have an opportunity for an experienced Administrative Assistant to join our client located in Beloit, WI.  This company helps individuals and families align their money, business, and life goals through thoughtful financial planning, investments, and insurance strategies.  Their team is committed to building long-term relationships grounded in trust, accuracy, and exceptional service.

We are looking for an Administrative Assistant who thrives in a structured, client-focused environment and plays a key role in supporting both the team and clients’ financial journeys.

As an Administrative Assistant, with time, training, and experience, you will become an essential part of the office operations—supporting client relationships, coordinating financial planning processes, and helping ensure their client-centered services run smoothly behind the scenes.

Administrative Assistant Responsibilities
Client Experience & Support
  • Assist with client contact (in person, phone, and email)
  • Assist with onboarding new clients and maintaining accurate records in CRM systems (Salesforce and Outlook)
  • Support preparation for client meetings, including gathering financial data and materials
  • Follow up on pending business, service requests, and client communications
Administrative Operations
  • Assist with office calendar, scheduling, and daily administrative workflow
  • Maintain organized client files (digital and physical) and process new/closed accounts
  • Be able to handle incoming/outgoing mail and office coordination tasks
  • Support team members with administrative projects and operational needs
Financial Planning & Case Support
  • Assist in preparing financial plans, presentations, and review materials
  • Collect and input financial data into planning tools such as eMoney and Asset-Map
  • Run illustrations, prepare applications, and support new business processing
Marketing & Events
  • Assist with marketing submissions and materials (AdTrax)
  • Help coordinate workshops, webinars, and client events
  • Maintain client contact and marketing lists
Compliance & Licensing
  • Support licensing and continuing education tracking
  • Ensure all processes align with compliance and regulatory requirements
  • Maintain strict confidentiality of client financial and personal information

Administrative Assistant Requirements
  • 3–5 years of administrative or office experience
  • Bachelor's degree
  • Proficient in basic computer and internet skills, including Microsoft Word, Excel, Outlook, PowerPoint, and Teams
  • Familiarity with LinkedIn, Facebook, and the ability to learn new software and platforms quickly
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication, along with strong customer service skills
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Comfortable navigating various websites, software programs, and planning tools, including the appropriate use of AI tools such as ChatGPT and Microsoft Copilot
 
Preferred Experience
  • Life, Health & Accident Insurance License (or must be willing to obtain)
  • Experience in financial services, insurance, wealth management, or accounting/bookkeeping and looking for more variety
  • Familiarity with tools like Salesforce, ClientWorks, LPL, eMoney, Asset-Map & Paperclip

This is a full-time, on -site, salaried role in Beloit, WI.  Salary $50-60k, depending on experience.  Benefits include medical, dental, vision, 401k and holiday/vacation time.
