Overview
Our client, a reputable title company, is seeking a professional and detail-oriented Receptionist / Administrative Support Specialist to serve as the first point of contact in their Rockford office. This individual will play a key role in maintaining a welcoming front office while also supporting operational teams with data entry, order processing, and document production.
This is a great opportunity for someone who enjoys a mix of customer interaction and focused administrative work in a team-oriented environment.
Key Responsibilities
Front Desk & Client Relations (Primary)
- Greet clients, realtors, lenders, and visitors in a professional and welcoming manner
- Answer, screen, and route incoming phone calls efficiently
- Manage incoming/outgoing mail, packages, and deliveries
- Maintain a clean and organized reception area
Order Department Support (As Needed)
- Assist during high-volume periods or team coverage gaps
- Enter and log title search orders accurately
- Review incoming order requests for completeness and accuracy prior to processing
Typing & Production Support (As Needed)
- Input and generate title commitments using company software
- Accurately enter legal descriptions, requirements, and exceptions
- Proofread documents to ensure quality and accuracy standards are met
Qualifications
Required
- 1–2 years of administrative, receptionist, or data entry experience
- Strong typing speed and accuracy
- Excellent attention to detail, especially with names, numbers, and legal descriptions
- Ability to multitask between front desk duties and detailed data entry work
Preferred (Not Required)
- Experience in real estate, legal, title, or banking industries
- Familiarity with SoftPro or Laredo software
